on this page most of the usual questions are answered by the FAQs. So please try to find an answer yourself before contacting one of the following contacts.

1) FAQs on opening hours of facilities and on events

1.1 Are the sports facilities still closed (swimming center/ LAZ /...

1.1 Are the sports facilities still closed (swimming center/ LAZ / LAA / halls / weight rooms / beach sports facility)?

All halls and sports facilities will be closed from Tuesday, 17.3.2020 (inclusive) until 07.06.2020 inclusive. The closure also affects the usage times of the beach sports facility ("Playa") (weekdays until 5 p.m. and field 6 from 5 p.m.); this applies regardless of any other opening of the operator.
Exceptions to the use of the facility require a decision by the President's Office.

1.2 Are canteen, bistro and copy shop still open?

All catering facilities of the Cologne Student Union are closed since Wednesday, 18 March 2020 until further notice.

The opening hours of the copy-shop from 11.05.2020 are as follows:
Monday/Tuesday/Thursday/Friday: 8 to 13 o'clock
Wednesday: 8 to 16:30  
In week 21 (Ascension Day) it will be open on Mondays, Tuesdays, Wednesdays and Fridays from 8 a.m. to 1 p.m.

1.3 Does the physical aptitude test take place in June?

The aptitude test has been postponed. A new date has not yet been decided. This will depend on future changes in the situation. The registration deadline has been extended to 25.06.2020.

1.4 Is the Master Congress taking place?

Unfortunately, the Mastercongress has to be cancelled as an attendance event. Submitted posters will be presented on an online platform. If presentations or posters have been submitted as part of an examination performance, the supervisors will evaluate the submission alternatively (the respective participants will be informed).

1.5 Will the introduction week be made up for?

Whether and in what form the introduction week can be made up for has not yet been decided.

1.6 Do events take place at GSU?

Because of the spread of the coronavirus COVID-19, the Federal Government and the Counties have jointly agreed to ban major events until 31 August 2020.
In addition, according to the Corona Protection Ordinance CoronaSchutzverordnung (CoronaSchVO, § 11) of 16 April 2020 (in the amended version of 17 April 2020), only teaching and examination activities at universities [...] may be carried out in accordance with a separate order pursuant to § 28 (1) of the Infection Protection Act. This is decided by the university management. Naturally, the rules of distance and hygiene must be observed. The regulation is initially valid until 25 May 2020.
All other events outside of the teaching and examination operations of the German Sport University will be cancelled until further notice or applications for events will not be approved.

Yes, according to current planning the semester is 14 days shorter than originally planned. If possible, the course conferences (meeting of the course directors and module representatives) will discuss the consequences of this shortening in the coming weeks and coordinate them with the university management.

2) FAQs on how to reach the GSU staff

2.1 Are there any restrictions in teaching and studying?

Summer semester 2020: According to a decision of the Ministry, the start of the semester will be postponed to 20.4.2020. The end of the lecture period of the summer semester 2020 is set to 17 July 2020. GSU Cologne has decided not to hold any courses before this date (20.4.2020).

Please keep up to date on this page. Students will also be informed by the university management by e-mail if there are any fundamental changes.

2.2 How can I reach the administrative facilities (e.g. examination...

2.2 How can I reach the administrative facilities (e.g. examination office)?

The President's Office has taken measures to maintain the functioning of the administration while protecting the health of the staff. For the administration, contact with staff members for all enquiries and work processes is now only possible by telephone, e-mail or post. Due to the current situation (situation-related shift work, sick leave, home office), delays in the processing of work processes may occur. We ask for your understanding in this regard. The university has commissioned a company to clean and disinfect contact surfaces at the university.

Advance notice: Transmission of final papers/thesis to the Examination Office:
From Monday, 30.03.2020 onward, it will be possible to submit final papers/thesis to the Examination Office by uploading them to Sciebo. Postal delivery is for the time being then no longer necessary.

Information on how to reach the examination office:
Due to the current situation, the Examination Office can only be reached by e-mail or telephone. Postal availability is currently not reliable. Exception: Submission of the final theses (also to meet the deadline). An online procedure has been developed for applications to register the thesis. You will find information on this on the website of the Examination Office.

The vast majority of our employees currently work in the home office. Telephones are often switched to private lines. In addition, all employees can be reached by e-mail. Consultation hours are usually only allowed to take place via telecommunication (e.g. by telephone).

3) FAQs on examination matters

3.1 Is my exam taking place?

Exams in the current examination period: Please note that after careful consideration of the risks, we have decided to postpone all future examinations (including the practical sports examinations) in the current examination period. This means that all examinations from and including 16.3.2020 will be cancelled. The university will do everything in its power to ensure that you do not suffer any disadvantages in the further course of your studies as a result of this postponement of examinations.

Please keep up to date on this page. Students will also be informed by the university management by e-mail if there are any fundamental changes.

3.2 Do housework deadlines remain?

Housework can be very different; depending on the type of housework (e.g. necessity to use the library), the supervisor can decide on an extension of the deadline.

3.3 Are examinations (e.g. written examinations) already written...

3.3 Are examinations (e.g. written examinations) already written edited (e.g. grades entered)?

The editing of examinations and the entry of grades is carried out by the lecturers. Lecturers continue to work (partly in the home office) according to the current status. In individual cases (e.g. in case of illness), however, the processing time may be extended. In an emergency, please inform the module representatives or course coordinators.

3.4 When will the exams be made up?

The President´s Office of the German Sport University Cologne has adopted a concept for the revision of the examinations from March 2020. This affects all students who were registered for these examinations (even if they subsequently cancelled their registration).
As planned, the examinations will be held as attendance examinations from June 8, 2020, i.e. on the premises of the German Sport University Cologne. The three lecture halls 1, 2 and 3 as well as Hall 8 are planned as examination locations.
Further information on the rules of access and conduct, hall and lecture hall plans and the individual admission lists can be found here.
Failed attempts in these catch-up examinations (i.e. failing to pass) will not be credited (so-called "Freischussregelung"). This also applies in the case of failure ("NE"). For this reason, it is not necessary and technically not possible to deregister from the catch-up exams.

You do not have to de-register for cancelled exams. If exams are to be rescheduled a new registration will be made available.

The Examination Office and the Student Secretariat can only be reached by telephone or e-mail. The postal availability of the Examination Office is currently not reliable. Exception: Submission of the final thesis (also to meet the deadline - registered mail). An online procedure has been developed for applications to register the final thesis. Due to the current situation, teachers can find flexible solutions with regard to learning assessment (LEK) (e.g. suspending the LEK, postponing the LEK, alternative examination forms). A PD should still be credited despite the failure of a course if it is necessary to attend a course in the summer semester.

For presentation exams the supervisors should offer alternative forms of examination as a substitute. Please contact your lecturers.

An extension of deadlines is possible according to the examination regulations. In the current situation, the Examinations Office will process applications with due consideration, even if the extension period exceeds the usual extent. It is helpful if the supervisor approves the application. Please send the request by e-mail to the Examination Office. Please also note the information on the Examination Office's website.

If, due to social and public restrictions, minor subject modifications are necessary for your Bachelor's or Master's thesis, your examiners can inform the Examinations Office informally with your consent.

If you are planning to submit your Bachelor's or Master's thesis in a timely manner, please give the examiners a concrete indication in your thesis of any restrictions on your search options in the final phase of the thesis (for example in the preface or introduction).

3.13 An exam or my final thesis is related to a project/experiment that might be postponed. What do I do?

Project work that requires social contact should be suspended until further notice. The decision is made by the supervisors after careful consideration, taking into account the special regulations published by the university. Substitutes can be defined for examinations. Deadlines can be postponed for final theses (see FAQ on "Can deadlines for final theses be extended due to the special situation?").

3.14 My last exam in my studies was cancelled and I want to take a...

3.14 My last exam in my studies was cancelled and I want to take a job - is there a special regulation?

In principle, you should re-register for the summer semester if your last exam in the winter semester was cancelled. In special cases, a hardship regulation is possible under certain circumstances, e.g. if there is proof that the start of a job is directly endangered. A hardship case should be applied for at the head of the programme with appropriate proof. However, due to the difficult personnel situation and the limited functions at the university, a special regulation cannot be guaranteed.

3.15 My last exam of my studies was in the winter semester and is now...

Basically, you should re-register for the summer semester if your last exam in the winter semester was cancelled. Please contact the Registrar's Office by e-mail or telephone to re-register.

3.16 Preparatory service for a teaching profession: What regulations apply to recruitment?

According to the circular of the Ministry of Schools and Education of 22 April 2020, a further recruitment date of 15 June 2020 is planned due to the corona pandemic. This applies to students in the hiring process who have not yet been able to complete all their exams due to the suspension of university operations and who may not be able to prove their Master's degree in time for the hiring date of May 1, 2020, as well as to other groups of people who cannot be hired for the preparatory service as planned on May 1, 2020 through no fault of their own.
The application deadline for the seminar instruction procedure on 1.11.2020 will also be extended to 15.06.2020.

Since upcoming developments may also have an influence on the examination dates for the summer semester 2020, the original registration start date will be postponed. The registration period for examinations in the summer semester 2020 is expected to open on June 15, 2020. You will find current information under the FAQs on this page and here.

 

3.19 Oral and written examinations of the summer semester

3.19 Oral and written examinations of the summer semester

Please prepare for the examinations of the summer semester as planned. Precise information on specific dates and implementation will be communicated in the course of the semester, taking into account the further development of the situation.

Just like the catch-up examinations for the winter semester 2019/20, all examinations in the summer semester 2020 will be free attempts, i.e. if an examination is not passed, it will not be counted towards the number of examination attempts. Attempts to improve grades are not covered by this regulation.

4) FAQs on medical aspects

4.1 I am directly affected by quarantine. What does that mean?

The quarantine requirements of the competent authorities must be complied with in all cases.

Please submit the relevant administrative order of the Health Office to the Personnel Administration Department (D2) or the Examination Office without delay. The administrative order also specifies the duration of your quarantine.

If you are affected as an employee, the German Sport University will continue to pay your salary (up to a maximum of six weeks) or your earnings. In this case, please also inform your superior and your responsible administrator in the Human Resources Department. The official order allows you to work from home. Please discuss whether and, if so, which tasks you can and should carry out from home with your immediate superior directly.

Students are required to stay away from examinations in which they cannot take part due to a quarantine order and must inform the examinations office immediately (e.g. illness). If the quarantine has other effects, e.g. on registration times, submission of papers, etc., you must contact the lecturers to find possible amicable solutions. The German Sport University will try to find individual solutions.

4.2 I am indirectly affected by quarantine (daycare, nursery).

In principle, your affliction is to be classified similar to the situation of a strike by the nursery school teachers, so that you are not released from your obligation to work and to be present. In any case, however, you should contact your immediate superior, who will try to find a satisfactory solution.

4.3 I have contact with an infected person. What should I do?

Szenario a) - There is a person suffering from corona in my environment:

If corona infection is detected in a person, the public health department registers the contact persons and arranges further measures for them, such as ordering a domestic quarantine. If you are one of these contact persons, the public health department will immediately order a home isolation (= quarantine) for you in accordance with the regulations of the infection protection law. You are then no longer allowed to leave your home and may not carry out your professional activity or any activity that brings you into contact with other people. However, working from home is permitted.

  • Students are obliged to inform the Registrar's Office of the German Sport University and, in the event of a missed exam, the Examinations Office immediately.

Szenario b and c) - In my environment there is a person b) quarantined by the authorities c) a person who has had contact with a sick or quarantined person:

If you have been in contact with a person who has been in contact with a person who has been proven to be infected with the corona virus, there is no ban on entering the premises - regardless of whether this contact person has been quarantined by the authorities or not - in agreement with the health authorities. In this case, students are not excused for failing to take part in an examination.

Generally speaking: If you notice symptoms that make an infection with the coronavirus probable, contact your family doctor by telephone and ask him/her to clarify whether you are infected. Until the situation has not been clarified, do not go to the German Sport University and please take the generally recommended protective measures, which you can read about on this page. However, please inform your doctor about your contact with an infected person.

4.4 Behaviour after an excursion or holiday abroad

According to the Ordinance on Protection against New Infections with the Coronavirus SARS-CoV-2 with regard to Entry and Return of 09.04.2020, persons who had previously spent more than 72 hours abroad were obliged to go directly to their own home immediately after entry and not to leave this place of residence for a period of 14 days after entering the Federal Republic of Germany, not to receive visits from persons who do not belong to the household of the place of residence and to inform the Health Office immediately. This quarantine obligation was lifted for NRW on 15 May 2020.

5) FAQs on other topics

5.1 Are there any effects on enrolment?

There are currently no effects on enrolments. This applies to both German and international students.

If a personal enrolment is planned for you, the following applies: even if you are ill, you will be enrolled. In this case, however, you are not allowed to come to the sports university in person. If you are unable to meet the enrolment deadline, please contact the Registrar's Office immediately in order to clarify how your enrolment can be implemented in this case. Postal enrolment is also possible.

5.2 Are the books from the ZBSport (library) automatically renewed?

During the closing time of ZBSport, all reminder fees are suspended or already borrowed media are automatically renewed. You do not have to renew books yourself at the moment. You can get a further overview of your borrowed media in your user account. Existing reservations for borrowed media are retained. The digital media are still available. Electronic publications and most of the databases licensed by ZBSport are accessible from any location. 5.3 Cancelled excursions - what is the procedure?

Basically the same applies as for other courses, namely postponement of the course. Due to the special situation (repeatability one year later if necessary), a replacement or a change in the form of the excursion is possible in consultation with the course director.

5.4 How are aptitude and orientation internships (EOP) and vocational...

5.4 How are aptitude and orientation internships (EOP) and vocational field internships (BFP) that have already begun dealt with?

For the time being, the German Sport University Cologne follows the regulations of the University of Cologne with regard to the special regulation of internship days for the EOP and the BFP. All students who have completed at least 15 days of internship will be recognized as having completed the EOP or BFP. Students who have completed a shorter internship period are free to decide whether they want to make up the days missing to complete the 15 days individually in May/June or complete them in a block in September. In the latter case, please contact us at so that we can include you in a follow-up seminar of the summer semester 2020. The internship school or internship location where you continue the EOP or BPF does not have to be the same as where you started. The guidelines of the German Sport University Cologne for the follow-up and the portfolio remain unaffected.

5.5 My TOEFL test was cancelled. Is there another way to prove...

5.5 My TOEFL test was cancelled. Is there another way to prove English language skills?

For Non-EU citizens applying for the four English-speaking Master´s degree programmes at GSU: Successful completion of the English language test (TOEFL, IELTS or Cambridge Certificate, level C1) is a prerequisite for admission to English-language Master's programmes at the German Sport University Cologne (for further information, please see "Application Master"). Proof of successful completion must be submitted by 31st August. Please note: There is still plenty of time. Official accredited test centres are starting to already reopen and are offering accredited tests now or in the near future. Please check the respective test centres. 5.6. Is it allowed to enter the German Sport University for a short time if the student is banned from the house?

No, students who have been banned from the premises (see II. Preventive measures to prevent infections) are not allowed to enter the university premises, even for a short time.

5.7 How to deal with compulsory internships according to the study regulations?

Contracts for compulsory internships can only be concluded if the supervising department can ensure that the necessary contents can still be imparted during the internship in the home office and the other requirements for the internship from the individual study regulations are guaranteed. A corresponding informal certificate must be provided by the internship supervisor (e.g. by e-mail).

Internships that are currently running (or already contractually fixed) can be cancelled at the request of the students or at the request of the supervising institution. In this case, the institution should allow the internship to be resumed later if the student expresses the wish.

Contracts for voluntary internships outside of a curricular necessity will be postponed until regular operation is possible again.

5.8 I lack technical possibilities, hardware or software. What do I do?

With regard to software, the German Sport University Cologne joins the federal contract Microsoft, also in order to give students access to Microsoft Office. With regard to this contract, tender and award deadlines still have to be taken into account. According to the current status, DSHS students will probably be able to use the associated advantages and opportunities from the beginning of May 2020. With regard to other technical problems (internet access, hardware), we kindly ask you to inform us at short notice (e.g. via the ) in case of particular hardship. The university tries to find individual solutions.

5.9 Standard period of study, BAföG and financing

Standard period of study: In view of the effects of the epidemic in the summer semester 2020, the individual standard period of study of the respective courses of study for the affected students is to be increased by one semester, according to the decision of the state government of NRW.

Financing: In case of financial emergencies, please contact the student advisory service. One example of special support programmes is the interest-free loans for women from the Hildegardis Association.

5.10 How does the contactless collection service for books in the ZBSport work?

From Monday, 20th April 2020 you can order books online and pick them up contactlessly at ZBSport. You can order up to ten volumes from the borrowable stock in the ZBSport catalogue online, provided that you are registered at ZBSport with your valid service card or student card of the German Sport University Cologne. At this time, the pick-up service is only possible with a registered ID for the above mentioned user group. Please note that the ZBSport is closed for public use until further notice.

For the time being, this service is activated for employees or students of the sports university. Unfortunately, first semester students cannot yet benefit from this service, as they have not yet had the opportunity to register their student card at the Central Library. Since April 20, 2020, prospective students from non-EU countries can apply for the winter semester 2020/21 via the portal mySpoho for the study places of the nine Master programmes at the German Sport University Cologne. This application period ends on 31 May 2020.

The application period for prospective students from Germany and EU countries for the Master's programmes starts on June 2, 2020. The deadline is 15 July 2020.

Application deadlines Bachelor, Bachelor's degree, Master's degree in teaching:
The application deadlines for the five Bachelor's programmes in sports science, as well as for the Bachelor's and Master's programmes will in all probability be postponed (planned application period: 1.7.2020 - 20.8.2020). The application period for all prospective students for Bachelor's and Master's degree programmes starts on 2 June 2020. It ends on 15 July 2020 (status: 15.05.2020).

8.3 Changes in the application and admission procedure for the coming winter semester 2020/21?

The practical sports aptitude test (aptitude test) planned for June will not take place. The catch-up date initially planned for September cannot be held either.

Nevertheless, both an application for a place at university and admission without the aptitude test proof are possible! In the case of such an admission without the aptitude test, proof of successful completion of the aptitude test must be provided at the earliest possible date - presumably February 2021. In this case, registration is subject to reservation.

If the aptitude test is not handed in at the next possible date, there will be no re-registration for the continuation of studies. However, study and examination credits earned up to that date will be retained and can be recognised when you re-enrol.

Applicants with a valid aptitude test can take part in the application and admission procedure as usual.
